Job Description / Duties
Reporting to Regional Relations Manager, the Regional Relations Clerk plays a crucial role in supporting the Regional Relations team with fostering strong relationships and supporting new and existing members of the First Nations Housing Professionals Association (FNHPA). This position involves completing critical clerical and administrative duties to ensure effective communication and coordination within the region.
Finance & Administration
- Assist the Regional teams in implementing the regional strategy to recruit and onboard new FNHPA members
- Assist with collecting feedback and insights from members aimed at continuously enhancing FNHPA products and services
- Provide general administrative support, including answering phone calls, responding to emails, and filing documents.
- Coordinate general project tasks and offer support to the Regional Relations Manager and Regional Coordinators as needed
Travel Coordination:
- Coordinate travel arrangements including booking flights, hotels, and rental vehicles.
- Maintain and update the FNHPA Travel Calendar with complete details (confirmation numbers, dates, etc.).
- Assist in the coordination of regional events, workshops, and training sessions to promote FNHPA membership, products, and services
- Support with workshop registration all registrations, administrative tasks, and logistics coordination as needed
Procurement & Material Management:
- Order printed materials as required and ensure timely distribution to the appropriate regions.
- Support outreach initiatives to understand the unique needs and priorities of FNHPA members
Event Planning & Support:
- Collaborate with Coordinators to research venues, obtain quotes, and secure necessary signatures.
- Complete required financial paperwork to ensure prompt vendor payment.
- Provide on-site event assistance, including set-up, tear-down, and audiovisual support.
WORKING CONDITIONS
- Perform all tasks in a culturally responsive manner, aligned with FNHPA's vision, mission, and objectives.
- Collaborate with diverse stakeholders, including public and First Nation communities, Chief and Council members, administrative staff and FNHPA members
- Manage multiple deadlines and interruptions
- This position is primarily remote, with the expectation of maintaining reliable internet connectivity and a dedicated workspace.
- Work effectively and efficiently in a flexible office environment
- May require occasional in-person attendance for meetings, events, or training sessions.
- Flexibility to adjust working hours to accommodate travel or event coordination needs.
- Possibility of occasional travel, requiring flexibility to work in various locations and schedules as necessary
Qualifications / Required Skills
Education:
- Technical degree specialized in business, marketing, communications, or a related field; or equivalent work experience
Experience:
- 1 to 3 years of relevant work experience
Knowledge:
- Computer literacy within a Windows environment; especially proficiency in MS Office
- Good writing and redaction skills
- Strong knowledge of office equipment

Assets:
- Experience with nonprofit and First Nations organizations
- Hold an FNHP designation and be in good standing
- French bilingual or bilingual in other First Nation languages
