Job Description / Duties

  • Providing administrative support to the Program Manager, Program Coordinator and Regional MRP Contractors in a timely and effective.
  • Assisting the Program Coordinator in planning and scheduling all related meetings, events and training activities, including logistics.
  • Preparing letters and reports and taking of meeting minutes and preparation of and follow-up regarding action items.
  • Receiving and directing all related inquiries including: mail, email, courier and telephone, in a timely manner.
  • Making travel arrangements for the MRP Program team as necessary.
  • Assisting with preparation of MRP Program communication information and materials for dissemination by the FNHPA Communications team.
  • Assisting with the preparation of tools for implementing MRP programs in First Nations communities.
  • Assisting with the preparation of MRP Program training for staff and Regional MRP Contractors as necessary.
  • Establishing effective working relationships with program stakeholders including FNHPA staff, Regional MRP Contractors, and First Nations community housing programs.
  • Attending MRP Program Committee meetings and preparing agendas, taking minutes, logging action items and following up as required.
  • Creating templates for MRP Program use in First Nations communities.
  • Creating and maintaining a database for the preparation of reports as related to MRP Program activities and evaluation.
  • Developing and maintaining a user-friendly MRP Program records management system.
  • Other related duties as may be required.

Qualifications / Required Skills

Education

  • Diploma or certificate in office administration/management, or equivalent combination of education and experience.
    Experience
  • Minimum 2 years’ experience in a similar position, preferably in a First Nations office environment.

Knowledge

  •  An understanding of First Nations Housing issues and services.
  • An understanding of First Nations Lands and Matrimonial Real Property
  • Able to multi-task in a busy work environment with competing priorities.
  • Strong organizational skills and able to work independently to meet work related deadlines.
  • Attention to detail and accuracy in preparing letters, reports and other documents.
  • Able to establish respectful and effective relationships with FNHPA staff, Regional MRP contractors, FNHPA Board of Directors and external stakeholders.
  • Able to adapt and pivot in a rapidly changing environment.

 

Preferred Skills and Abilities

  • Intermediate communication skills, both verbal and written.
  • Intermediate computer skills including MS Office – Word, Outlook, Excel, Adobe Pro, and PowerPoint.
  • Canadian Police Information Centre (CPIC) check with satisfactory results.
  • Able to work evenings and some weekends as may be required from time to time.


Assets

  • A valid First Nations Housing Professional (FNHP) designation and/or Professional Lands Management Certification Program (PLMCP) certificate is an asset.
  • Fluency in both French and English is an asset.

Salary: $35,000- $45,000

Employer Profile

Reporting to the MRP Program Manager, the MRP Administrative Clerk is responsible for supporting the MRP Program team in the development and implementation of the MRP Program on-reserve. With the goal of First Nations communities operating their own independent MRP Programs, the Administrative Clerk supports the Program Manager, Program Coordinator and Regional MRP contractors in the delivery of MRP education and awareness activities to Housing Program staff in First Nations communities.

The Administrative Clerk also works directly with the Program Coordinator to ensure that program requirements are met in a timely and effective manner. The Administrative Clerk is also responsible for establishing effective working relationships with other MRP Program stakeholders.
