Job Description / Duties

The Clerk is responsible for updating and maintaining all membership records as well as enrolling and recertifying members. The position assists the FNHPA, across its different programs and plans, to provide meaningful opportunities for members by remaining responsive and attentive to changing needs and priorities.

• Serving as primary contact point for FNHPA members and managing relationships with, and general communications to members, responding to emails & incoming phone calls.
• Reviewing all incoming new and renewal membership applications and making recommendations based on established processes and protocol
• Collating and verifying member information to ensure complete enrolment of new members
• Implementing strategies to engage, retain, and increase membership
• Ensuring timely and periodic updates on individual membership records as stipulated in the membership guidelines
• Tracking and assessing member participation in various FNHPA events and activities
• Explaining the recertification conditions for members and following up to ensure they meet those conditions
• Researching critical and changing member needs and possible ways of providing more value to the members
• Coordinating the preparation and submission of reports to executives
• Ensuring proper archiving and scanning of records for offsite storage
• Assisting all other departments with day-to-day activities during non-peak periods

Qualifications / Required Skills

Education
• Minimum two (2) year diploma in Office Administration Program, or its equivalent.

Experience
• Minimum one (1) year experience in a related administrative occupation is required.

Knowledge
• An understanding of First Nations Housing issues and services
• Computer literacy in Windows environment, Microsoft Office suites and social media platforms
• Fluency in both French and English is an asset

• Ability to assess, prioritise and resolve problems
• Strong customer service orientation
• Strong computer skills (word processing, spreadsheets, PowerPoint)
• Ability to work with members and co-workers in a professional manner
• Conflict resolutions skills
• Confidentiality, discretion, and the ability to use sound judgment when dealing with sensitive and confidential matters and information
• Ability to maintain high accuracy and thoroughness when executing tasks
• Familiarity with non-profit and membership best practices, tools, and techniques
